Italy Visa Application Documentation Requirements

1. Application Track Selection

  • Italy Tourist Visa: For individuals traveling for leisure, independent tourism, or organized group holiday packages.

  • Italy Business Visa: For individuals traveling for professional corporate engagements, commercial discussions, or business meetings with organizations in Italy.

2. Universal Core Documents (Mandatory for All Streams)

The following documentation must be provided for every individual application:

Visa Application Form: Filled out accurately and physically signed by the applicant.

    • Signatures: Two separate original signatures are required from the applicant: one on page 3 (column 37) and a second signature on page 4.

    • Minors: Forms for minor applicants must be signed by both parents in both designated places.

    • Jurisdictions: Ensure you print the specific layout corresponding to your regional application center (Delhi, Mumbai, or Kolkata Jurisdiction).

  • Original Passport: Must have a validity extending at least 3 months beyond your scheduled departure from the Schengen zone, contain a minimum of 2 entirely blank pages, and have been issued within the previous 10 years (total validity must not exceed 10 years).

  • Passport Photocopies: Two complete sets of high-quality photocopies of your current passport.

  • Historical Passports & Prior Visas: Physical submission of any old passports. You must also include clear photocopies of the front page, the last page, all previous Schengen visas, and any active valid visas for the US or UK.

  • Visa Document Checklist: A physical copy of the official document checklist with your submitted items ticked off.

  • Appointment Slip: The formal appointment confirmation slip must be downloaded and carried with you physically on the day of your appointment.

  • Travel Insurance: Policy must provide a minimum medical coverage of 30,000 Euros valid across the Schengen zone. A minimum of 10 days of insurance coverage is mandatory, calculated from your exact travel date.

  • Personal Bank Statements: Original personal bank account statements reflecting transactions for the last 3 consecutive months, featuring a fresh bank stamp and signature on every page.

    • Jurisdiction Exception: Applicants filing under the Delhi Jurisdiction must provide original statements covering the last 6 consecutive months.

  • Taxation Records: Personal Income Tax Return (ITR) acknowledgment forms or Form 16A covering the last 3 assessment years. The printed document must clearly show the official barcode.

  • Cover Letter: A detailed personal letter explicitly clarifying:

    • The full name of the applicant and any accompanying family members or companions.

    • Precise travel dates, day-to-day itinerary, and overall duration of stay.

    • Clear declaration of the entity or individual bearing the travel expenses.

    • The exact purpose of your visit.

3. Occupational Proof (Tailored Categories)

Employed Applicants

  • Employer NOC: An original No Objection Certificate issued on official company letterhead, detailing your full name, designation, authorized dates of leave, and the signature of an authorized corporate signatory.

  • Salary Slips: Official monthly pay slips covering the last 3 consecutive months.

  • Employment History: A copy of your active employment contract or formal corporate appointment letter.

  • Personal Taxation: Income Tax Returns (ITR) for the last 3 consecutive years.

Self-Employed Applicants

  • Business Registration Proof: Full Business Certificate of Incorporation, GST Registration certificate, or legal company registration proof.

  • Corporate Banking: Official company bank account statements reflecting the last 3 consecutive months.

  • Corporate Taxation: Company Income Tax Returns for the last 3 assessment years.

Retired Applicants

  • Pension Tracking: Official pension bank account statements reflecting the last 3 consecutive months.

  • Asset Income Proof: Legally verifiable proof of steady income generated via property ownership, real estate assets, or business holdings.

Student Applicants

  • Institutional Enrollment: Official proof of enrollment or current registration in your School, College, or University.

  • School Consent Letter: An original letter issued by your educational institution dated within 30 days prior to your visa submission date. The letter must explicitly contain: the full name of the student, the complete address and telephone number of the school, and the formal signature of the Head of Department.

4. Special Categories & Sponsorship Paths

Jurisdiction Verification (Mismatched Address)

  • Residence Proof: Required if your passport's place of issue falls under a different regional jurisdiction than your current city of residence. Valid proofs include a formal letter from your bank/employer, a registered rent agreement, or official property documents.

Family Sponsorship (Tourist Track Only)

  • Sponsored by Children: If your children are financing your trip, you must provide their complete financial profile: 3–6 months of bank statements, past ITRs, a copy of their passport, and a formalized Declaration of Sponsorship.

Hosted by an Italian Resident (Tourist Track Supplement)

  • Official Invitation (Lettera d’invito): A formal invitation letter issued directly by your host in Italy.

  • Host Identification: If your host is an Italian citizen, provide a clear copy of their national identity card or passport. If the host is a foreign resident living in Italy, you must attach copies of their passport, identity card, and their valid Italian Permit of Stay (Permesso di Soggiorno).

Group Tour Packages (Tourist Track Supplement)

  • Tour Operator Endorsement: A formal covering letter issued by your official tour operator. The document must feature a verified manifest listing all passenger names, dates of birth, and passport numbers booked under that specific package tour.

Business Invitations & Corporate Ties (Business Track Supplement)

  • Official Letter of Invitation (LoI): Must be drafted on the official letterhead of the inviting Italian company.

    • Direct Dispatch: The inviting company must email this letter directly to the commercial visa office at commerciale.mumbai@esteri.it prior to your application submission.

    • Application Copy: A high-quality, color photocopy of this exact invitation letter must be attached to your physical application bundle.

  • Signatory Identification: A clear copy of the passport or National ID card of the corporate representative signing the invitation letter in Italy.

  • Chamber of Commerce Registry (Visura Camerale): An official copy of the inviting company's Visura Camerale registration with the local Italian Chamber of Commerce. The document must be dated no more than 6 months prior to your intended travel date.

Minor Applicants (Under 18 Years)

  • Traveling with One Parent or a Third Party:

    • A formalized affidavit stating clear no-objection to the minor's travel. This affidavit must be legally notarized and legalized by the competent Home Department of the State of Residence.

    • Expat Parent Exception: If a parent resides legally in Italy, they can submit a formalized self-declaration accompanied by a copy of their Italian stay permit and passport, with their signature authenticated locally by the Comune.

    • Consulate Consent Alternative: Alternatively, both parents can physically visit the Consulate General of Italy in Mumbai to sign an official Consent Form. The physical presence of both parents is mandatory, and they must present their original passports (or government-issued photo IDs containing signatures) alongside the minor's original birth certificate.

    • Identity Attachment: A clear copy of both parents' photo IDs must be physically attached to the minor's visa file.

  • Traveling with Both Parents:

    • A legalized affidavit of consent is not required, provided that the names of both parents are formally printed on the minor applicant's passport.

    • Identity Attachment: Clear copies of both parents' photo identification cards must still be attached to the application file.
