Germany Visa Application Documentation Requirements

1. Application Track Selection

  • Germany Tourist Visa: For individuals traveling for leisure, independent tourism, or visiting family members and friends.

  • Germany Business Visa: For individuals traveling for commercial purposes, corporate meetings, trade fairs, or business engagements with entities in Germany.

2. Universal Core Documents (Mandatory for All Streams)

The following items must be provided for every individual application:

  • Original Passport: Must be valid for at least 3 months after your scheduled return date, contain at least 2 empty pages to affix the visa, and have been issued within the last 10 years. Passports with handwritten or official observations regarding the front data page will not be accepted.

  • Passport Photocopies: High-quality copies of the biometric (photo) page and the address page of the passport.

  • Schengen Visa Application Form (VIDEX): Completely filled out and signed. Applicants must use the official VIDEX website to complete the form online and ensure all pages—including the generated barcodes—are printed and submitted.

  • Visa Photograph: At least 1 recent biometric passport picture ($35 \times 45\text{ mm}$ with a white background) providing 70%–80% face coverage. The photo must not be older than 6 months.

  • Flight Logistics: Confirmed round-trip flight tickets. This must include documented reservations for internal transfers across Schengen states via flight, train itineraries, or car rentals.

  • Accommodation Proof: Confirmed hotel reservations, holiday home rental agreements, or campus residence confirmations.

  • Business Registration Proof: An official certificate of registration for the company, explicitly including its Goods and Services Tax (GST) registration number for companies based in India.

  • Corporate Banking: Company bank account statements reflecting the last 3 consecutive months, stamped by the bank (separated pages only; passbooks rejected).

  • Corporate Taxation: Indian Income Tax Return (ITR) acknowledgment forms for the last 2 assessment years, OR a valid Form 16.

Retired Applicants

  • Pension Tracking: Official pension statements reflecting the last 3 consecutive months.

  • Asset Income Proof: Verifiable proof of steady regular income generated via business ownership or property assets.

  • Bank Statements: Stamped personal bank statements for the last 3 months (separated pages only).

Student Applicants

  • Institutional Enrollment: Formal enrollment certificates from the establishment at which you are currently registered.

  • Institutional NOC: A signed No Objection Certificate issued by your School or University.

  • University Student Bank Statements: University-level students must submit their personal bank statements for the last 3 months, stamped by the bank (separated pages only).

Marital Status Documents

  • Sponsorship by an Indian Company:

    • In addition to standard corporate steps, attach the official acknowledgments of the company's ITR returns for the last 3 consecutive years (arranged latest first, e.g., 2022–2020).

  • Sponsorship by a German Company:

    • A formal sponsor letter paired with a clear passport copy of the sponsor, alongside a copy of their German residence permit if they reside in Germany and are not a German citizen.

Minor Applicants (Under 18 Years)

  • Form & Declarations: The Schengen application form and all associated visa declarations must be signed by both parents.

  • Identity Documents: Minor’s official birth certificate, alongside high-quality passport copies (both biometric data page and address page) of both the mother and the father holding legal custody.

  • Parental Visas: If one or both parents are not submitting their visa application concurrently with the child, clear copies of those parents' valid visas must be attached.

  • Single Custody Cases: If only one parent is submitting the application, legal proof of single custody must be provided via an official court ruling or the death certificate of the deceased parent.

  • Shared Custody Consent: If both parents hold shared custody but only one parent is present to apply, you must submit a written, signed authorization letter from the non-present parent, accompanied by their passport copy (biometric and address pages)—both of which must be certified by a public notary.

  • Traveling Entirely Alone: If the minor is traveling without parents or legal guardians, a written consent letter signed by both parents or guardians holding custody is mandatory and must be certified by a public notary.

Non-Applicant Submission (Authorized Representatives)

  • Third-Party Filings: If the visa application is not being submitted directly by the applicant, you must attach a signed authorization letter designating the travel agent or representative. This must be accompanied by a clear copy of the passport of the individual physically submitting the file.

5. Stream-Specific Local Supplements

Business Commitments (Business Track Supplement)

  • Official Invitation Letter: A formal invitation from your business partner in Germany, written in either German or English. The letter must explicitly declare:

    • The exact activities planned during the stay.

    • The formal business relationship existing between the inviting company and the sending company.

    • Consultancy Clause: For consultancy services, an additional confirmation letter from the local German client is required.

    • Accommodation Clause: If the inviting entity is arranging your accommodations, they must explicitly confirm this arrangement within the invitation letter.

  • Indian Corporate Profile: In all business instances, you must supplement your personal cover letter with the following credentials from your Indian employer:

    • Certificate of Incorporation of the company.

    • Valid GST Registration certificate.

    • Official proof of Company Registration.

  • Extended Business Stays (Over 30 Days): A highly detailed, granular schedule of your business meetings is mandatory for any stays exceeding 30 days.

  • Additional Schengen Appointments: If you have subsequent appointments in other Schengen states, you must provide a signed invitation letter from that respective Schengen business partner on company letterhead, clearly stating your personal data, the itinerary, and the purpose of travel.

  • Trade Fair & Exhibition Reminders:

    • The official opening or start date of an exhibition/trade fair does not result in the preferred or expedited processing of your application.

    • Standard Schengen visa fees apply. Exhibitors may be exempted from the visa fee only if their individual exhibitor pass is attached directly to the application at submission. Later submissions of an exhibitor pass will not result in a reimbursement of the visa fee. Holders of general visitor passes are not exempt from visa fees.

  • Mandatory Visa Declarations:

    • A signed declaration of True and Complete Information.

    • A signed declaration confirming you will travel with valid medical insurance at all times.

6. Supplemental Information Required for Digital Submission

Please ensure you have the following background information prepared to fulfill your online portal entry data fields:

  • Biometric History: Declare whether your fingerprints have been collected for a Schengen visa application in India within the last 59 months. If yes, specify the exact month and year of collection. (Note: Fingerprints must be retaken if you submit your application in person, regardless of the 59-month window). If you were officially excused from biometric fingerprint capture, specify the exact reason why.

  • Schengen Intention Metrics: A checklist of other Schengen countries you intend to visit, your designated first country of entry into the Schengen area, and your total planned duration of stay (declared as a specific number of days).

  • Prior Schengen Visas: Disclose whether you have been issued a Schengen visa in the past 5 years; if yes, specify the exact start and end dates of the last visa.

  • Demographics & Marital Status: Select your exact legal marital status (Single, Married, Divorced, Widowed, Unmarried Partner, Separated).

  • Granular Employment Profiles:

    • Students: Name of the educational institution, full campus physical address, and official institutional email.

    • Employees: Exact name of the employer/organization, job title, corporate address, and official corporate communication email.

    • Self-Employed: Exact job title.

    • Unemployed: Specific title of your last job role and your final date of working.

    • Retired: Your official date of retirement.

  • Trip Funding Metrics: Disclose whether an external party is covering the cost of your trip (Friend/Family, Employer, or another distinct Company). If yes, you must declare the legal name of the person or organization funding the trip, your exact relationship to them, and the specific amount of money they are allocating toward your travel expenses.
